Receptionist
Role Overview
Facilities Management is currently recruiting for a Receptionist to join our team in Killorglin (Killarney Road Building).
This is a key front-of-house role responsible for providing a professional, welcoming, and efficient reception service while supporting the day-to-day administrative functions of the Facilities Management team. The successful candidate will be the first point of contact for staff, visitors, contractors, and customers, ensuring a positive experience while maintaining high standards of customer service, administration, and workplace presentation.
Main Responsibilities
- Welcome visitors and staff into the building and respond to any queries in a professional and friendly manner.
- Manage visitor registration, access control, and visitor badging.
- Answer and transfer internal and external calls efficiently and courteously.
- Maintain a high standard of housekeeping throughout the reception area, foyer, and main entrance.
- Manage diaries for catering, driver bookings, meeting room reservations, and other facilities-related requests, ensuring arrangements are coordinated efficiently and accurately.
- Carry out general office administration duties, including stationery orders, post handling, purchase orders (iProc/Oracle), receipts, deliveries, and key management.
- Monitor office supply levels and arrange replenishment as required.
- Book accommodation and transport requirements when required.
- Coordinate meeting room bookings and meeting arrangements.
- Arrange catering requirements and assist the restaurant with orders.
- Maintain the Food App, ensuring content, menus, and information are accurate and up to date, coordinating updates, responding to user queries where required, and producing reports and insights from the app to support business and catering operations.
- Serve as the primary point of contact for Facilities Management requests and queries, ensuring issues are addressed promptly, resolved efficiently, or escalated as appropriate.
- Prepare timesheets and other administrative documentation as required.
- Act as the designated Safety Representative for the area.
- Support Facilities Management activities, projects, and initiatives as required.
- Undertake any other reception and administration duties assigned by the Services Manager.
Competencies Required
The successful candidate should have:
- Previous experience in a receptionist, administration, or customer service role.
- Excellent organisational, interpersonal, and communication skills, both written and verbal.
- Proven customer service skills with a professional and approachable manner.
- Proficiency in Microsoft Office applications, including Word, Excel, Outlook, and Teams.
- The ability to work effectively as part of a team in a busy environment.
- The ability to take responsibility and work on their own initiative.
- A flexible approach to working hours and work location when required.
- Strong organisational and multitasking skills with the ability to prioritise workloads effectively.
- A high level of integrity and the ability to maintain confidentiality.
- Strong attention to detail and a proactive approach to problem-solving.
